Parent/Teacher Organization Charter

PTO Organization

Purpose

The purpose of the PTO is to promote our children’s welfare in the home, school, church, and community; and to enhance the relationship among home, school, and church.

Membership

Parents with children in our schools (grade school, high school, and Sunday school) and teachers in our schools are members of the PTO by enrollment of students in our schools or acceptance of a call to teach in our schools. Adult communicant members of Immanuel Evangelical Lutheran Church may become members of the PTO by request. Only adults in attendance will be allowed to vote at a PTO meeting.

Authority

The PTO operates under the supervision of the Board of Education of Immanuel Evangelical Lutheran Church.

PTO Officers

Elected Officers

The following offices shall be filled by election at the last PTO meeting of each school year:

The term of office is August 1 to July 31.

These four officers constitute the Executive Committee of the PTO.

Adult communicant members of Immanuel Evangelical Lutheran Church are eligible to hold office in the PTO.

Duties of the Officers

Chairman The chairman shall perform the following duties:

  1. Call the planning committee meeting before the September PTO meeting
  2. Prepare agendas for meetings
  3. Conduct meetings in an orderly and efficient manner
  4. Ensure that the PTO Guidelines are followed

Vice Chairman The vice chairman shall perform the following duties:

  1. Conduct meetings when the chairman is unable to do so
  2. Establish serving committees for events at which the PTO is responsible for serving (the list of these events is received from the PTO Planning Committee)

Treasurer The treasurer shall perform the following duties:

  1. Collect and disburse all monies
  2. Give the treasurer’s report at every meeting (including reporting the status of the general fund and all special funds)
  3. Submit the PTO books to the congregational auditing committee for an annual audit to be completed by August 1st.
  4. Report the audit results at the September PTO meeting and in the PTO report to the Immanuel Evangelical Lutheran Church Voters’ Assembly Annual Meeting

Secretary The secretary shall perform the following duties:

  1. See that the PTO meetings, programs, and serving committees are announced in the school’s Weekly Update, the church bulletin, and mailed notices
  2. Record the minutes of all planning committee and PTO meetings, and store these minutes in the proper notebook for reference
  3. Provide ballots for PTO officer elections

Officers’ Duties—General In addition to the duties specific to each office listed above, the PTO officers as a group are responsible for the following:

  1. Contacting school parents who have not yet joined the PTO to invite their participation
  2. Providing refreshments for the first PTO meeting of each new school year
  3. Planning, purchasing, filling, and dispensing the Christmas bags for the Christmas Eve church service
  4. Formulating a slate of nominees (subject to agreement by those nominated) for the next year’s officers
  5. Making recommendations to the PTO for honoraria and mileage reimbursement, when appropriate, for guest speakers

Changes to the Charter

  1. Proposed changes to this Charter must be publicized to PTO members and the Board of Education at least one week in advance of the meeting at which action will be taken on the proposal.

  2. Changes to the Charter are subject to approval of the Board of Education.
